eBillSoftwares

This policy explains what eBillSoftwares collects, why, how long we keep it, and what you can ask us to do with it. It covers the web app, the mobile apps and this website.

Before you publish

This is an accurate description of how the software behaves, but it is not legal advice. Have a solicitor review it against the jurisdictions you operate in, and fill in the company details marked below.

Who we are

eBillSoftwares is operated by [Legal entity name], registered at [Registered address]. For privacy questions, contact support@eBillSoftwares.com.

What we collect

DataWhy
Name, email, phoneTo create and secure your account, and to contact you about it.
Business details — company name, address, tax number, logoTo render them on your invoices and receipts.
Your business records — customers, invoices, products, sales, expenses, staffThis is the content of the service. We store it so you can use it.
Payment details for a paid planHandled by our payment processor. We store the plan and status, not your card number.
Technical logs — IP address, browser, timestamps of requestsSecurity, abuse prevention and diagnosing faults.

What we do not do

  • We do not sell your data, or your customers' data, to anyone.
  • We do not use your business records to train machine-learning models.
  • We do not send marketing email to the customers you store in the system.
  • We do not place advertising or third-party tracking pixels inside the app.

Your customers' data

When you store details about your own customers, you are the controller of that data and we process it on your behalf. You are responsible for having a lawful basis to hold it. We will not contact your customers except when you instruct the software to — for example when you send an invoice or a payment reminder.

Who we share with

We use a small number of processors, and only for the purpose listed:

  • Hosting — to run the servers and store the database.
  • Email delivery — to send invoices, reminders and account email on your behalf.
  • Payment processing — to take subscription payments. They receive your card details directly; we do not.

We also disclose data where the law requires it, and to protect the service against fraud or abuse.

How long we keep it

  • While your account is active — for as long as you keep using the service.
  • After you delete your account — your records are removed within 30 days, except where we must keep financial records for statutory periods.
  • Technical logs — kept for a short retention window, then discarded.

Security

Passwords are stored hashed and are never recoverable in plain text. Access to a business's data is scoped to that business, and staff logins see only what their role permits. Traffic is encrypted in transit. No system is perfectly secure, so if we become aware of a breach affecting your data we will tell you.

Your rights

Depending on where you live, you may have the right to:

  • Access a copy of the data we hold about you.
  • Correct anything inaccurate — most of it you can edit yourself in Settings.
  • Delete your account and its data, from Settings or by asking us.
  • Export your data. Invoices download as PDF and reports as CSV, at any time, on every plan.
  • Object to or restrict certain processing.

To exercise any of these, email support@eBillSoftwares.com. We aim to respond within 30 days.

Cookies

We use a session cookie to keep you signed in and a CSRF token cookie to protect forms against forgery. Both are necessary for the app to function. We do not use advertising or cross-site tracking cookies.

Children

The service is for business use and is not directed at anyone under 16. We do not knowingly collect data from children.

Changes

If we change this policy materially, we will update the date above and notify account holders by email before the change takes effect.
