This Privacy Policy explains how OWDOZ LLP, trading as Owdoz (“Owdoz”, “we”, “us” or “our”), collects, uses, stores, shares and protects personal information when you visit owdoz.com and its subdomains, contact us through any of our forms or messaging channels, or engage us for services.

We are an information technology company providing web development, mobile app development, custom software development, e-commerce solutions, UI/UX design, digital marketing, AI and machine learning, and blockchain development services. We are headquartered in Kerala, India.

Please read this policy carefully. By using our website or submitting information to us, you acknowledge that you have read and understood how we handle your personal information as described here.

2. Who we are and how to contact us

For the purposes of applicable data protection law, Owdoz is the data controller (or “data fiduciary” under Indian law) responsible for the personal information described in this policy.

3. Scope of this policy

This policy applies to:

  • The Owdoz website at owdoz.com, including all service pages, landing pages, portfolio pages and our blog
  • Our product demo environments and subdomains, including o-billing.owdoz.com, o-learn.owdoz.com, otaxi.owdoz.com and owspital.owdoz.com
  • Enquiries you send us by web form, email, telephone, WhatsApp or Facebook Messenger
  • Our marketing and advertising activity, including campaigns run on Google Ads and social media platforms

This policy does not cover data we process on behalf of our clients in the course of delivering a project. That relationship is described in section 12.

4. Information we collect

4.1 Information you provide directly

When you complete an enquiry form, request a consultation, register for a product demo, or contact us by any channel, we may collect:

  • Your full name
  • Email address
  • Telephone or WhatsApp number
  • Company or organisation name, where you provide it
  • The service you are interested in
  • Project details, budget range, timeline and any other information you choose to include in your message
  • Country or location, where you provide it or where it is relevant to the enquiry

If you register for one of our product demonstration environments, we may additionally collect a username, a password (stored in hashed form) and any sample data you enter into the demo.

4.2 Information collected automatically

When you browse our website, we and our service providers automatically collect certain technical information, including:

  • IP address and approximate location derived from it (typically city or region level)
  • Browser type and version, operating system, device type and screen resolution
  • Pages viewed, time spent on pages, scroll depth and links clicked
  • The website or advertisement that referred you to us, including advertising click identifiers such as Google’s gclid parameter
  • Date and time of your visit

4.3 Cookies and similar technologies

We use cookies and similar technologies to operate the website, remember your preferences, measure performance and support our advertising. See section 7 for details and your choices.

4.4 Information from third parties

We may receive information about you from:

  • Advertising and analytics platforms such as Google Ads and Google Analytics, which report on how you interacted with our advertisements
  • Social media platforms, where you contact us through Facebook Messenger, Instagram or WhatsApp
  • Business directories and referral partners, where you have asked to be introduced to us
  • Publicly available business sources, where we are verifying a corporate enquiry

4.5 Information we do not seek

We do not intentionally collect sensitive personal information such as data revealing racial or ethnic origin, political opinions, religious beliefs, health data, biometric data or financial account credentials through our website forms. Please do not include such information in your enquiry messages.

5. How we use your information

We use personal information for the following purposes:

  • Responding to enquiries. To contact you about your enquiry, answer questions, schedule consultations and prepare proposals or quotations.
  • Delivering our services. To perform a contract with you, manage projects, provide support and handle billing.
  • Improving our website and services. To understand how visitors use our site, diagnose technical problems and improve content and performance.
  • Marketing and advertising. To measure the effectiveness of our advertising campaigns, understand which advertisements led to enquiries, and — where you have consented or where permitted by law — to send you information about our services.
  • Security and fraud prevention. To protect our website and systems against spam, abuse and unauthorised access.
  • Legal and regulatory compliance. To comply with applicable laws, respond to lawful requests and establish, exercise or defend legal claims.

5.1 Legal bases for processing

Where the UK GDPR, EU GDPR or a comparable law applies to you, we rely on the following legal bases:

  • Consent — for non-essential cookies, advertising and analytics technologies, and marketing communications. You may withdraw consent at any time.
  • Performance of a contract — to deliver services you have engaged us for, and to take steps at your request before entering into a contract.
  • Legitimate interests — to respond to business enquiries, secure our systems, and understand and improve our services. We balance these interests against your rights and freedoms.
  • Legal obligation — where we are required to retain or disclose information by law.

6. Advertising and analytics

We advertise our services online and use analytics tools to measure results. The tools currently in use on our website include:

  • Google Tag Manager (container ID GTM-TWPBVNBS) — a tag management system used to deploy the tools listed below.
  • Google Analytics — measures website traffic and visitor behaviour in aggregate.
  • Google Ads — measures conversions from our advertisements and, where you have consented, supports remarketing.   • Meta (Facebook) tools — where you contact us through Facebook Messenger or interact with our social pages. See Meta’s Privacy Policy.
  • NitroPack — a website performance and caching service that may set technical cookies necessary for page delivery.

You can opt out of Google Analytics measurement using the Google Analytics Opt-out Browser Add-on, and manage personalised advertising through Google My Ad Center.

7. Cookies

Cookies are small text files placed on your device. We use the following categories:

  • Our team. With Owdoz personnel and contractors in India, who need the information to respond to your enquiry or deliver your project, subject to confidentiality obligations.
  • Professional advisers. With accountants, auditors and lawyers where necessary.
  • Legal requirements. Where we are required to disclose information by law, court order or a lawful request from a competent authority, or where disclosure is necessary to protect our rights, safety or property.
  • Business transfers. In connection with a merger, acquisition or sale of assets, in which case we will notify you of any change in how your information is handled.

9. International transfers of information

Owdoz operates from India. Your personal information will be transferred to, stored and processed in India, and may also be processed by our service providers in other countries. Data protection laws in these countries may differ from those in your own.

Where we receive personal information from the United Kingdom, the European Economic Area, or another jurisdiction that restricts international transfers, we implement appropriate safeguards — such as standard contractual clauses or an equivalent recognised transfer mechanism — to protect that information. You may request further information about these safeguards by writing to privacy@owdoz.com.

10. How long we keep your information

We retain personal information only for as long as necessary for the purposes described in this policy.

  • Enquiries that do not proceed: typically retained for up to 24 months, so that we can respond if you contact us again.
  • Client and project records: retained for the duration of the engagement and for 7 years thereafter, or longer where required by tax, accounting or contractual obligations.
  • Website analytics data: retained according to the retention settings of the relevant platform, typically 14 months.
  • Marketing preferences: retained until you withdraw consent, plus a record of the withdrawal itself.

When information is no longer needed, we delete it or anonymise it so it can no longer be linked to you.

11. Security

We maintain administrative, technical and physical safeguards designed to protect personal information against unauthorised access, disclosure, alteration and destruction. These include encrypted connections (HTTPS/TLS) across our website, access controls limiting who within our team can view enquiry data, hashed storage of passwords, and confidentiality obligations for our personnel and contractors.

No method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. If we become aware of a personal data breach affecting your information, we will notify you and the relevant supervisory authority where the law requires it.

12. Client project data

When we build, host or maintain a website, application or software system for a client, we may access personal information belonging to that client’s customers, staff or users. In that context we act as a data processor (or “data processor” / “significant data fiduciary’s processor” as applicable), not as the controller.

We process such information only on the documented instructions of our client, under a written services agreement or data processing agreement, and we do not use it for our own purposes. If you believe your information is held within a system we operate on behalf of a client, please contact that organisation directly. We will support them in responding to your request.

13. Your rights

Depending on where you live, you may have some or all of the following rights in relation to your personal information:

  • Access — to obtain confirmation of whether we process your information and to receive a copy of it
  • Correction — to have inaccurate or incomplete information corrected or updated
  • Erasure — to request deletion of your information where there is no continuing lawful reason for us to keep it
  • Restriction — to ask us to limit how we use your information in certain circumstances
  • Objection — to object to processing based on our legitimate interests, and to object to direct marketing at any time
  • Portability — to receive certain information in a structured, machine-readable format
  • Withdraw consent — to withdraw consent at any time where we rely on it, without affecting processing already carried out
  • Nominate — under Indian law, to nominate another individual to exercise your rights in the event of your death or incapacity
  • Complain — to lodge a complaint with your local data protection authority

14. Additional matters

14.1 Children

Our website and services are directed at businesses and are not intended for children. We do not knowingly collect personal information from children under the age of 18. If you believe a child has provided us with personal information, please contact us and we will delete it.

14.2 Third-party websites

Our website contains links to third-party websites and platforms, including our social media profiles and product demo environments. We are not responsible for the privacy practices of those third parties. We encourage you to read their privacy policies before providing them with information.

14.3 Messaging channels

If you contact us via WhatsApp or Facebook Messenger, your message is also processed by Meta Platforms in accordance with its own terms and privacy policy. We retain the content of business conversations conducted through these channels for the periods described in section 10.

14.4 Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology or legal requirements. The “Last updated” date at the top of this page indicates when it was last revised. Where changes are significant, we will provide a more prominent notice. We encourage you to review this page periodically.
